Description

Observed Behaviour
• When searching a name containing multiple descriptive elements, relevant conflicts are not always returned.
• For example, searching CALEZA AESTHETICS & WELLNESS INC. does not return the existing entity CALEZA AESTHETICS & MEDI SPA INC.
• However, when the search is limited to CALEZA AESTHETICS, the conflicting entity is returned.

Business Impact
• Potential conflicts may not be identified when a full proposed name is searched.
• Examiners may need to manually remove descriptive words and perform multiple searches to identify all relevant conflicts.
• Search results become dependent on the examiner's search strategy rather than the system consistently identifying potential conflicts.
• This increases the risk of conflicting names being overlooked and may result in inconsistent examination outcomes.

Recommendations
• Confirm that all active Society records are available and searchable in NameX.
• Review what changed during the NameX upgrade to determine whether Society records stopped loading or displaying correctly.
• Test a sample of known active Societies and previously rejected Name Requests to confirm search results are working as expected.
• Review how the search function handles spaces, punctuation, ampersands (&), abbreviations, and other special characters.
• Test different variations of the same name (for example, HH, H H, H&H, and H. & H.) to ensure they all return the same or similar conflict results.
• Confirm that conflict search results align with established Name Examination practices and the functionality available before the upgrade.
